Today’s note is dedicated to one of the fundamentals of HR Tech market and the basis for any kinds of products which automate headhunters’ and HR specialists’ jobs: Applicant Tracking Systems or candidate management systems. One cannot imagine the biggest multinationals and recruitment agencies as well as medium businesses in the developed countries without these systems. According to estimates of Berisn by Deloitte, nowadays more than 60% of all companies use different ATS, and all the leading companies producing HR software develop and sell ATS (Oracle, SAP, IBM, ADP and others).
It is hard for me to tell what an ancestor of ATS was in the early 1990s: CRM or databases directed to store the information on employees and candidates, or systems scanning the data from incoming CVs. Well, now it is beyond the point.
Applicant Tracking System have evolved much, and their journey carries on. A while ago corporate recruiters and applicants faced difficulties using these systems. In Russia, the biggest multinationals were “guides” to using these systems as they made decisions on their usage in headquarters and then launched them in subsidiaries all over the world. I remember this as a disaster. Recruiters, agencies and applicants were complaining. For instance, to send an application using ATS a person needed to fill in plenty of boxes and answer lots of questions, which altogether made the process disastrous due to unstable Internet speed and system malfunctioning. And the most important thing is: no one could guarantee that your CV is going to be received and processed.

ATS have become more convenient to use, more attractive from the point of view of design and user experienced. They have evolved and become systems responsible for solving lots of tasks of companies engaging with recruitment and HR, and as a whole these systems significantly increase the effectiveness of employees’ performance:
— Processing and storage of incoming CVs;
— Matching of incoming CVs to positions to which they were sent;
— Placing advertisements on vacant positions on many sites (Job Boards);
— Collection of reviews on vacancies from all sources;
— Involvement with external providers (recruitment agencies) which upload applicants’ resumes directly to ATS of a client company;
— Individual approach to applicants during employment process;
— Involvement with beginning managers;
— Dealing with social networks and professional social networks;
— Dealing with passive candidates on who there is information in ATS;
— Collection of data bodies on applicants;
— And many other functions.

In my opinion, ATS nowadays are not the only instrument increasing the efficiency of recruitment system, however, using them is essential because:
— They significantly increase efficiency of the procession of incoming resumes with high quality (so that you do not need to separate a half of “losers”);
— They economize recruiters’ time;
— High quality and up-to-date ATS can be a significant component of the employer’s brand;
— ATS allow collecting and storing big data on applicants that can be used to increase recruitment and staff retention efficiency as well as to shape the candidate search strategy (HR Analytics and Big Data).
